SmileCare operates three dental practices in Hamburg with 12 dentists and 8,000+ patients. The front desks were constantly overwhelmed: phones ringing non-stop, double-booked appointments, and 15-20% of patients not showing up because reminders were forgotten.
Challenge
Phone lines were chronically overloaded, especially in the mornings. Many patients hung up frustrated and booked with competitors. Manual appointment reminders via SMS were sent irregularly, leading to a high no-show rate. Receptionists spent 70% of their time on the phone instead of with patients on-site.

Our Approach
We developed an intelligent WhatsApp Business bot that automates the entire appointment management process. Patients can book, reschedule, or cancel appointments 24/7 — all via WhatsApp. The bot syncs in real-time with the Google Calendars of all three locations and sends automatic reminders.
